Privacy policy

Bertha Park Residents’ Group (“we”, “our”, “us”) is committed to protecting your privacy. This policy explains how we collect, use, and protect your personal information when you use our website at berthapark.org.uk.

Information we collect

• Contact form submissions: when you send us a message, we collect your name, email address, and the content of your message.
• Analytics: we use PostHog EU Cloud to understand how the site is used — page views, referral sources, and masked session replay. Form inputs and marked sensitive text are masked, and person profiles are limited to identified users only.

How we use your information

• Contact form data is used solely to respond to your enquiry. It is sent to our committee email address and is not shared with third parties.
• Analytics data is used to understand how our website is used so we can improve it.

Lawful basis for processing

We process your personal data on the basis of legitimate interests — to respond to enquiries from residents and neighbours, to run the Residents’ Group and keep members informed, and to maintain records of our community activities. Our purpose is to operate a constituted not-for-profit residents’ group for the Bertha Park neighbourhood; the processing is necessary because we cannot respond to you, organise meetings, or keep the community informed without holding the contact details you give us; and we have balanced this against your rights and freedoms by collecting only what we need, using it only for the purpose you gave it, and never sharing it for marketing or with unrelated third parties.

Where we rely on a recognised legitimate interest under the Data (Use and Access) Act 2025 — for example, disclosing information to a public-safety body such as the police where there is a genuine safeguarding or crime-prevention need — the balancing test does not apply to that specific disclosure.

Data storage and security

Contact form submissions are delivered through Postmark, a secure transactional email service. We do not store form submissions on the website itself. Your data is transmitted securely via HTTPS.

Your rights

Under UK data protection law you have the right to access, correct, or delete any personal information we hold about you. To exercise these rights, please email [email protected].

Subject access requests

You can ask for a copy of the personal data we hold about you. We will make reasonable and proportionate searches to find it and respond within the statutory timeframe (normally one month).

Your right to complain

If you are unhappy with how we have used your personal data, please tell us first so we have the chance to put it right. You can raise a data-protection concern using our data-protection complaint form, or by emailing [email protected] or writing to us at the address below.

We will acknowledge your complaint within 30 days, keep you informed of progress, and tell you the outcome without undue delay. If you remain dissatisfied, you can escalate to the Information Commissioner’s Office (ICO) at ico.org.uk.
